JUNIOR OFFICE ASSISTANT

Our client is looking for a hard-working and enthusiastic Office Junior to provide day-to-day administrative support within the Editorial department.

The successful applicant will be organised, friendly and approachable, with good communication skills and a willingness to take on a variety of administrative tasks as required. S/he will be comfortable with working both alone and in a team, and should be ready to offer colleagues maximum support at all times. The ability to prioritise workload and use initiative is vital, as is attention to detail.

Key tasks:

1. Post, faxes and emails

• Open and distribute the post when delivered throughout the day

• Collect and distribute faxes promptly

• Deal with courier bags from the Washington office, opening, distributing contents and filling for return; contact courier companies to trace missing/late bags

• Maintain the Nature email inbox, replying to queries and forwarding where necessary

2. Manuscript administration

• Reject and file inappropriate hard copy manuscript submissions

• Archive dead manuscript files on a monthly basis

• Ensure that the filing cabinets are kept tidy and that filing is kept up-to-date

3. General administration

• Ensure fax machines, photocopiers and printers are in working order and organise/chase up engineers if necessary

• Ensure fax machines, photocopiers and printers are filled with paper on a daily basis

• Assist the Librarian with the logging in and distribution of new journals

• Assist the Book Reviews Editor with the unpacking of books

• File newspapers on a weekly basis

• File courier waybills on a daily basis

• Other administrative tasks required by the Manuscript Tracking Supervisor and Office Manager, as time permits

4. Stationery

• Keep an inventory of stationery items

• Ensure that the stationery cupboard is kept tidy

• Order departmental stationery on a weekly basis

5. Cover

• Assist with cover for colleagues when necessary and as time permits
